“ Equipment specifications are the key acceptance criteria for rented air-conditioning filters. Learn how to spot false efficiency grades, sizing errors, inferior materials and exaggerated service life. ”
In air-conditioning filter rentals, equipment specifications are the core acceptance criteria and also the area most easily manipulated by a rental provider. The following common traps and avoidance tips focus on equipment parameters and help you identify misleading claims from a technical perspective.
Substituting Filtration Efficiency Grades: False Ratings Are the Most Common Trap

Trap indicators

Passing off a lower-grade filter as a higher-grade product: examples include supplying an under-spec G4 prefilter as a compliant G4 product even though its filter medium is not dense enough and captures only 70% of 5 μm particles, far below the national G4 requirement of at least 90%; another example is renting an M5 medium-efficiency filter as an M6, producing a difference of more than 15% in the capture efficiency for 1 μm particles.

Using vague efficiency standards: the provider may omit the test standard, use an outdated gravimetric test to claim high efficiency even though the product may fail the current EN 779 standard, or simply label a product high efficiency without stating its exact grade, despite the major difference between H13 and H14.

Preventive measures

Request a third-party test report: require a report bearing CMA or CNAS accreditation that clearly states the efficiency grade, test method such as the sodium-flame or particle-counting method, and filtration efficiency for the specified particle size. For example, H13 must achieve at least 99.97% at 0.3 μm.

Perform a simple on-site test: use a laser dust meter to compare PM2.5 concentrations upstream and downstream of the filter. Large particles should drop substantially after coarse filtration, while no more than 10% of particles larger than 1 μm should remain after medium-efficiency filtration. If there is no significant change in the readings, the filter is necessarily underperforming.

Hidden Dimensional Errors: Installation Compatibility Is a Major Risk

Trap indicators

Reduced frame thickness: for example, a panel filter specified with a 21 mm frame may actually measure only 18 mm, preventing a proper fit in the air-handling unit's slot and causing leakage above 5%, which effectively halves filtration performance.

Excessive diagonal deviation: a bag filter with a length or width error of 5 mm or more cannot fit tightly against the frame, creating bypass leakage. This is especially serious at high airflow, when unfiltered air can enter the air-conditioning system directly.

Preventive measures

Measure every dimension upon delivery: use a vernier caliper to measure length, width, height, frame thickness and flange-hole spacing to the nearest millimeter. Compare the results with the contract; errors should be no greater than 2 mm, because larger deviations compromise sealing.

Test sealing after a trial installation: use a smoke pen around the filter after installation. If smoke leaks through, require immediate replacement, because air leakage is a primary cause of lost filtration efficiency.

Cutting Corners on Filter Media and Frame Materials: Environmental Suitability Plummets

Trap indicators

Inferior filter media:

A coarse filter may use inexpensive nonwoven fabric with insufficient basis weight in place of standard nylon mesh, causing it to tear after only one month.

A medium-efficiency filter may use a blended medium with too little glass fiber, reducing its temperature resistance from 120°C to 80°C and causing embrittlement and fiber shedding in the heating section of the air-conditioning system.

Downgraded frame materials:

A humid environment, such as swimming-pool air-conditioning, calls for a stainless-steel frame, but a provider may supply galvanized iron that rusts and deforms within three months.

For a high-temperature application, such as heated workshop ventilation, a provider may substitute an ordinary plastic frame for heat-resistant ABS. Ordinary plastic softens above 70°C and may allow the filter medium to detach.

Preventive measures

Inspect material documentation: require test reports for the filter medium, including the basis weight of nonwoven fabric and the glass-fiber content, along with temperature- and moisture-resistance reports for the frame. A claim of 120°C heat resistance, for example, should include data showing no deformation after 24 hours at high temperature.

Perform physical checks:

Pinch the filter medium. Good nonwoven fabric is resilient, while poor material flattens immediately. The surface of glass-fiber media should show no obvious fiber shedding, which could contaminate the air-conditioning system.

Inspect the frame. A stainless-steel frame should carry a 304 or 316 material designation; galvanized iron should have a uniform coating without rust spots; and a plastic frame should state its temperature rating, such as RTI 100°C.

Airflow and Resistance Values That Do Not Match Actual Performance

Trap indicators

Overstated rated airflow: a filter labeled for 10,000 m³/h may already suffer a sharp efficiency drop at 8,000 m³/h because its media area is too small, reducing PM2.5 capture from 95% to 70%.

False resistance data: the stated initial resistance may be 50 Pa while the actual resistance is already 80 Pa at startup, increasing fan energy consumption by 20%. The final resistance is then reached early, so a filter promised to last six months needs replacement after only three months.

Preventive measures

Check the airflow-resistance curve: require a chart of measured data, including initial resistance and efficiency changes at different airflows. At the air-conditioning system's design airflow, initial resistance should not exceed 110% of the agreed value, and efficiency should show no significant decay. For example, the efficiency of a medium-efficiency filter should decline by no more than 5% at 10% above rated airflow.

Measure operating resistance: use a differential-pressure gauge to measure real-time resistance across the filter, including the initial value immediately after installation. Reject the filter if it differs from the stated value by more than 15%, because excessive resistance reduces air-conditioning airflow and disrupts room-temperature control.

Exaggerated Dust-Holding Capacity and Service Life

Trap indicators

Dust-holding capacity overstated by 50%: a provider may claim a capacity of 5 kg when the actual capacity is only 3 kg, shortening the replacement interval from six months to three months and doubling filter cost.

Service life calculated for the wrong application: a provider may advertise a life based on a low-pollution environment, such as a clean laboratory, even though the filter will be used in a high-dust setting such as an office building beside a major road. The user then misjudges the replacement interval, and a clogged filter can cause air-conditioning failures such as a fan overload trip.

Preventive measures

Request application-specific service-life data: ask the rental provider to state, for example, that the filter will last a specified number of months where the annual average PM2.5 level is 50 μg/m³ and daily operation is eight hours. The provider should also state the final resistance at which dust-holding capacity is measured, such as capacity at a final resistance no greater than 250 Pa.

Record and track operating data: record resistance changes each month and plot resistance against time. If resistance rises more than 30% faster than promised, require the provider to replace the filter at no charge, as the filter may have inadequate dust-holding capacity.

Special Functions Reduced or Omitted

Trap indicators

Nominal antibacterial or deodorizing performance: a product may claim a silver-ion antibacterial layer when it has merely been sprayed with an unverified antibacterial agent that loses effectiveness after two weeks. An activated-carbon filter may have an iodine value below 400 mg/g, only 50% of the standard adsorption capacity, making it almost ineffective against formaldehyde.

Reduced heat or moisture resistance: a filter rented for a high-temperature application may use media rated for only 100°C despite a promised 150°C rating. After extended operation in the heating section, the filter paper carbonizes and releases contaminating particles.

Preventive measures

Test special-function performance:

Antibacterial performance: require a third-party antibacterial-rate report, such as a result showing at least 90% inhibition of Escherichia coli.

Deodorization: release a small amount of smoke or odorous gas in an enclosed space and determine whether the filter significantly reduces its concentration within 30 minutes.

Heat resistance: run the air-conditioning heating section at the target temperature, such as 120°C, for two hours, then stop and inspect it. The filter medium should show no discoloration, deformation or odor release.

Summary

Request three forms of evidence: a test report covering efficiency and resistance, a material certificate covering the medium and frame, and application-specific service-life data.

Measure three values: dimensional error, which should be no more than 2 mm; initial resistance, which should be no more than 110% of the stated value; and installation sealing, with no air leakage.

Reject vague descriptions: every parameter must be quantified. For example, high efficiency should mean H13, and heat resistance should mean no deformation during continuous operation at 120°C. This prevents the rental provider from switching concepts behind industry terminology.

These steps help prevent mismatched goods at the level of equipment specifications and avoid hidden costs caused by false parameter claims, including filtration failure, increased energy use and equipment damage.
